Eric Moeller: Thanks, Kaye. Today we're diving into a topic that may not sound exciting at first, operational excellence. But as I see it, it's one of the most critical foundations for any successful STR business.
Kaye: Let's start with the big picture. How do you define operational excellence?
Eric: I think of it like going to the gym. I don't love doing it, but I love the outcome. I want a short-term rental business that runs smoothly, solves problems before they become visible, and delights guests consistently. That requires discipline, systems, and a constant focus on improvement.
Kaye: When it's done well, it becomes invisible. You don't get constant validation because things just work. But those five-star reviews and strong margins? That's where the payoff lives.
Eric: Exactly. At Freewyld, we break operational excellence into two main parts: property operations and team operations. On the property side, we use tools like Breezeway to keep our cleaning and maintenance teams aligned. On the team side, we use ClickUp and a living playbook to ensure everyone knows what to do and when.

Eric: Yes. And the magic happens when problems get assigned to the right person, at the right time, with the right tools. We also use ChatGPT to speed up SOP creation. I can speak a process into a recorder, drop the transcript into ChatGPT, and have a system doc ready within minutes.
Kaye: That's such a great hack. And I love your quote: "If you do something more than once, it needs a system." That mindset helps eliminate single points of failure.
Eric: And that creates freedom. I want our properties to be perfect for guests, from the music to the scent when they walk in. I want the team to handle the details so I can focus on vision and strategy. Operational excellence is what makes that possible.
